Assistant Front Office Manager
Job Description
Assist the Front Office Manager in managing the Front Office operations to achieve customer satisfaction, quality service and compliance with corporate/franchise policies and procedures while meeting/exceeding financial goals. Ensure that the arrival, departure, and all other guest contact are conducted in an efficient and friendly manner.
-Ensure efficient guest registration, checkout, guest service, and telephone service, while ensuring all brand standards are being applied.
-Implement company and franchise programs.
-Prepare forecasts and reports and assist in the development of the Rooms Division budget.
-Monitor and maintain the front office systems and equipment to ensure their optimum performance.
-Track guest satisfaction surveys and maximize usage of the guest response tracking system.
-Provide training for entry level associates and supervisors.
-Develop and implement controls for expense management.
-Utilize labor management tools to schedule and control labor costs.
-Interview, hire, train, develop, resolve problems, provide open communication and recommend discipline and/or termination when appropriate of staff members. Ensure timely completion of performance appraisals.
-Communicate both verbally and in writing to provide clear direction to staff.
-Interact positively with customers and take action to resolve problems to maintain a high level of customer satisfaction and quality.
-Ensure compliance of front office, guest service, and PBX standard operating procedures and policies. Ensure all Front Office Quality Standards are complied with and are consistently applied.

Office Assistant
Description:
1. Receive visitors and clients in person and notify proper staff of the arrival.
2. Answer, screen and route incoming calls to the Center.
3. Screen visitors and callers while maintaining confidentiality and safety.
4. Become familiar with the Center’s services and with our community partners
5. Respond to general phone inquiries, provide accurate, helpful responses
6. Receive, stamp, and distribute staff mail daily, and sign for and accept deliveries, notifying proper person of the arrival.
7. Maintain the waiting room area (adult and child), keeping it organized, tidy and clean.
8. Watch over child or children in the waiting room when the child’s guardian is being interviewed by a staff member.
9. Provide administrative support to Deputy Director of Development and the fundraising function of the Center including word processing, filing, faxing, copying, and data management.
10. Manage the production of correspondence for the development department, which will include but not be limited to: drafting correspondence for Deputy Director of Development and Chief Executive Officer signatures’ as directed.
11. Understand necessary aspects of using the donor database(s) in order generate acknowledgement letters and acknowledgement reports for development office. Coordinate and produce all donor acknowledgement letters in a timely manner using eTapestry to mail merge and generate letters, labels, envelopes, etc.
12. Assist with preparation for annual audit from donor files in development office filing system.
13. All other duties as directed by Development Director and/or Chief Executive Officer.
